Volunteers
Calwest Basketball Volunteer Positions:
Calwest Board: President, Vice President Girls, Vice President Boys, Treasurer,
Registrar
President:
- board member of the CMBA
- attend Calwest and CMBA meetings
- liaison with CMBA and other basketball communities
- find volunteers as needed for CMBA and Calwest Basketball
- collect and ensure confidentiality of security forms
- coordinate executive and divisional coordinators
- organize evaluations with coordinators
- handle disciplinary problems with parents, coaches, and players
- make process changes to improve Calwest Basketball
- chair meetings
- represent Calgary West Basketball to external bodies
Vice President (Boys and Girls):
- assist President as required
- assign Division Coordinators
- assist Division Coordinators in organizing evaluations
- assist Division Coordinators with disciplinary issues with respect to parents, coaches and players
- provide Coordinators and coaches with support throughout season
- attend Executive Meetings
- attend co-ordinators meetings
- attend coaches meetings
Treasurer:
- maintain all banking information
- deposit all funds received
- monitor all expenditures
- provide cheques for all expenditures and refunds
- provide annual budget
- provide annual financial report and updates as required
- attend executive meetings
- should have professional designation if possible
Registrar:
- maintain information for online registrations
- respond to registration queries
- collect proof of age documentation
- ensure registered players live within Calwest boundaries
- update website information on registration
- maintain database of Calwest players
- provide coordinators with list of players for evaluations
- provide CMBA with lists of players, teams and coaches
- review and approve imports, and transfers between CMBA communities
- attend co-ordinators meetings
- attend executive meetings
Gym Coordinator / Scheduler:
- find gyms wherever possible
- liaison with City of Calgary regarding gyms
- books gyms with the city or other sources
- provide gym schedule for evaluations in September and December (U18 High School)
- provide gym schedule for team practices for the fall and winter sessions
- advise coaches when gyms are not available
- provide coaches with complete listing of gym schedules
- attend executive meetings

Equipment Coordinator:
- ensure quality of uniforms, ball, pinnies, first aid kits, ball bags for all teams
- distribute equipment needed for evaluations to coordinators
- schedule and supervise distribution of team kits each September
- schedule and supervise return of team kits in March
- get approval to order new equipment as required
- assist coaches with equipment needs throughout the year
- advise treasurer when uniforms are not returned by April 15 so deposit cheques can be cashed
- attend executive meetings
- attend coaches meeting
Volunteer Coordinator:
- contact and schedule all non-team specific volunteers as requested by Calwest Board
- advise treasurer when volunteer commitments are not met by April 15 so deposit cheques can be cashed
- attend executive meetings
Non - Board Volunteer Positions (full season):
Age Group Coordinator:
- must have a current security check or be in the process of getting one
- organize evaluation process for players of the age group assigned
- find and assign coaches for all teams in age group
- first contact for all players / parents / coaches in age group
- attend co-ordinators meetings
- attend coaches meeting
Coach / Assistant Coach (2-3 per team)
- must have a current security check or be in the process of getting one
- run practices and games
- attend coaches meeting
Manager (1 per team):
- must have a current security check or be in the process of getting one
- assist coaches, as required, with administrative duties (distribution and collection of uniforms, communication with players/ parents.)
Scorekeeper / Timekeeper (2 per CMBA team):
- each team is required to supply a scorekeeper or timekeeper each game
- attend tutorial on filling out a scoresheet and running a clock
Gym Monitor (2 per CMBA team):
- each team is required to supply a gym monitor for each game
- attend tutorial on duties of a gym monitor
Team Health and Safety Volunteer (2-3 per team):
- should a team be coached by only those of the opposite gender (men coaching girls / women coaching boys), an adult of the same gender as the players
- one volunteer must be in attendance for all practices and games
- help attend to any injured players
- ensure sanitization supplies are available for all team practices and games
- ensure players, coaches and parents adhere to COVID-related policies at practices and games
- can be a shared position throughout the season (similar to scorekeeping and timekeeping)
Non-Board Volunteer positions (limited commitment):
Evaluation Check in:
- check players in at evaluation sessions
- record uniform sizes, and any other miscellaneous duties required at the evaluation practices in Sept
Evaluation Assistant:
- some type of basketball coaching or playing experience is helpful
- assist in the evaluation of players for the purpose of team placements
Equipment Distribution and Collection:
- put together “team kit’ using forms given by Equipment coordinator
- hand out kits to team representative (Coach or Manager)
- collect and verify contents of team kit upon return
- sort uniforms and equipment into appropriate containers
